Pabau pricing is set by the number of users per location: Solo (1 user), Team (2-3), Medium (4-5), Group (6-15) and Enterprise (16+, multi-site), and every plan includes the full platform with unlimited patients, as listed on 28 October 2026. Pabau shows the Solo price for your region on its pricing page and quotes all larger plans after a demo, with up to 20% off for annual billing and four optional add-ons charged on top.
This guide covers what drives the bill for a UK aesthetics clinic, which costs sit outside the base plan, and a budget template to check your quote against. Third-party sites still quote plan names such as "Startup Package" that no longer appear on Pabau's current pricing page, so this guide uses only what Pabau publishes, dated 28 October 2026.
How much does Pabau cost in 2026?
Pabau's pricing page states the model in one line: "One platform. Priced by team size." Every plan has "Full access on every plan. Based only on users", according to Pabau's pricing page. There is no feature ladder where cheaper tiers lose clinical records or marketing tools. The only thing that changes between plans is how many people log in.
What you actually pay depends on three inputs, all confirmed by Pabau's pricing FAQ:
- Region. Pabau notes that "pricing depends on where you're located and the number of users you'll need on the system." A UK clinic sees the price set for the UK.
- Users. Your plan is chosen by the number of people who log in.
- Locations. "Pricing applies per location, except on Enterprise which covers multiple sites."
The Solo price is published on pabau.com/pricing for your region. It loads in the browser based on location, and it did not render in our captures on 28 October 2026, so we do not print a figure here. Check it on the page itself rather than trusting a number copied onto another site.
For Team, Medium, Group and Enterprise, Pabau does not show a price. Its FAQ explains that for larger teams "pricing depends on your exact user count and whether you need optional add-ons", and a demo call is used "to confirm the right plan, share accurate pricing". Pabau's own blog says the same thing: it "shares a tailored quote after a demo rather than a fixed per-user rate."
Billing can be monthly or annual, and annual billing saves "up to 20%". The page also states "No commitment. Based on team size." Confirm in writing what that means for your notice period and annual prepayment.
Pabau pricing plans explained: Solo, Team, Medium, Group and Enterprise
Pabau's five plans are defined by user count. Each one also carries a short "Practices on plan] typically" profile on the [pricing page, which is a useful self-check for where your clinic sits.
| Plan | Users | Patients | Locations | Price shown publicly? | Pabau says practices on this plan typically |
|---|---|---|---|---|---|
| Solo | 1 | Unlimited | Priced per location | Yes, for your region | Work full-time as one clinician; handle high patient volume; run fully digital workflows; use a purpose-built system |
| Team | 2-3 | Unlimited | Priced per location | No, quoted after demo | Share calendars and rooms; coordinate staff access; centralise billing workflows; use retention tools |
| Medium | 4-5 | Unlimited | Priced per location | No, quoted after demo | Manage multiple practitioners; run automation every day; track team performance; standardise internal workflows |
| Group | 6-15 | Unlimited | Priced per location | No, quoted after demo | Operate with larger teams; track inventory centrally; use reporting across teams; connect with other systems |
| Enterprise | 16+ | Unlimited | Multi-location supported | No, quoted after demo | Run multiple locations; support large staff groups; control access and governance; report across sites and teams |

The practical point is the step between tiers. A clinic with three people logging in sits on Team. Hire a fourth person who needs a login and you move to Medium. Go from five to six and you move to Group. Each step is a new quote, so it is worth knowing your hiring plan for the next 12 months before you choose a plan.
What is included in every Pabau plan?
Pabau lists twelve items under "Included in every plan" on its pricing page:
- Scheduling and online booking
- Patient Portal and digital records
- Forms, documents, and photos
- Integrations
- Payments, POS, and invoicing
- Packages and memberships
- Marketing tools and automation
- Inventory management
- Reporting and insights
- Team roles and permissions
- Lead management
- Care and clinical workflows
The pricing FAQ adds a shared inbox for email and SMS to that list, and the Engage Plus answer clarifies that every plan already includes the inbox for email, SMS, web chat and team chat. Pabau states that "Plans differ only by the number of users, not by features."
Two more points from the same FAQ affect cost. All five plans include unlimited patients at no extra cost, with no per-patient fees on any tier. And you can upgrade or downgrade at any time, with data, settings, clinical records and workflows carried across and billing "adjusted on a pro-rata basis."
For a clinic running separate tools for the diary, consent forms, card payments and stock, that bundling is the main argument for Pabau: compare one subscription against several, not against a single booking app.
Pabau add-ons and extra costs: what sits on top of the plan
The base plan is not the whole bill. Pabau offers four optional add-ons that "sit on top of your core plan", work with any plan from Solo to Enterprise, and can be added or removed at any time, per its pricing FAQ. No add-on prices are published.
| Add-on | What Pabau says it adds | Free period shown | How it is priced |
|---|---|---|---|
| Marketing Plus | Advanced patient engagement; "automate patient outreach" | 30 days | Not published |
| Care Plus | Enhanced clinical workflows | 30 days | Not published |
| Insights Plus | Deeper analytics; "Turn practice data into clear decisions" | None shown | Not published |
| Engage Plus | WhatsApp, a cloud phone system and AI agents in the inbox | 3 months | Per location, not per user; price not published |

Beyond the add-ons, three other cost lines are worth separating:
- Credits. Pabau says "Messages and AI call minutes use Pabau credits, billed as you go." The credit rate is not on the pricing page.
- Card processing. Payments and POS are included as features, but the pricing page does not state transaction fees. Ask for the rate in writing.
- Extra sites. Below Enterprise, each location is priced separately, so a second clinic is a second plan.
Put the free periods in the diary and ask whether each add-on continues automatically once it ends.
How to budget for Pabau in a UK aesthetics clinic
Because most plans are quoted, the useful thing to bring to a demo is a formula, not a guessed number. Built from the pricing rules Pabau publishes, the annual cost looks like this:
Annual cost = (monthly plan price per location × locations × 12) × (1 - annual discount) + (add-ons per month × 12) + credits + card fees
The annual discount is "up to 20%", so the multiplier sits between 0.80 and 1.00.
Example: for every £100 of monthly plan price, paying annually at the full 20% saves £240 a year (£100 × 12 × 20%). At £200 a month the saving would be £480; at £300, £720. These are units for the arithmetic, not Pabau prices. Swap in the figure from your quote.
Next, count users correctly. Pabau defines a user as "anyone who logs in to Pabau to manage appointments, access patient records, or perform clinical or administrative tasks", which includes practitioners, receptionists and clinic managers. Clients using the online booking page or Patient Portal do not count. A part-time injector who logs in one day a week is still a login, so ask how Pabau treats them.
Then count sites. Below Enterprise, pricing applies per location.
Example: a two-site clinic with three users at each site would, on that rule, carry two Team plans rather than one Medium plan. Confirm how your quote treats this.
Copy this template and fill each blank from your quote:
| Line | What to enter | Monthly (GBP) | Annual (GBP) |
|---|---|---|---|
| Plan | Solo / Team / Medium / Group / Enterprise | price per location, from your quote | n/a |
| Users | Everyone who logs in, incl. reception and managers | n/a | n/a |
| Locations | Number of sites (each priced below Enterprise) | plan price x sites | x 12 |
| Annual discount | Offered %, max 20% | n/a | minus discount |
| Add-ons | Marketing Plus / Care Plus / Insights Plus / Engage Plus | from your quote | x 12, after free period |
| Credits | Estimated SMS, WhatsApp and AI minutes | your estimate x credit rate | x 12 |
| Card fees | Expected card takings x quoted rate | from your quote | x 12 |
| VAT | Confirm whether quoted prices include VAT | from your quote | from your quote |
| Annual total | Sum of the lines above |
If you plan to hire, fill a second copy for next year: a fourth or sixth login changes the tier.
What to ask Pabau in the demo
Pabau describes its demo as a call that "typically takes 20-30 minutes" with "no obligation to proceed", per its pricing FAQ. That is short, so bring the questions written down.
2. What is the monthly total versus the annual total, and what exact discount applies (up to 20%)?
3. How is a second location charged below Enterprise?
4. Who counts as a user: part-time injectors, locum practitioners, receptionists, managers?
5. What does each add-on cost, and what happens when the free period ends?
6. What is the credit rate for SMS, WhatsApp messages and AI call minutes?
7. What are the card processing fees for in-clinic and online payments?
8. What is the minimum term and notice period ("No commitment" per the pricing page), and how do I export my data if I leave?
Ask for the answers in the written quote, not just on the call.
Is Pabau worth it, and when is a lighter tool enough?
Pabau is a strong fit for an aesthetics clinic that wants one all-in-one system: clinical records, consent forms, booking, payments, memberships, inventory and marketing on every plan, with no cap on patient records, per Pabau. If you are replacing three or four separate tools, the per-user, per-location model is easy to reason about once you have the quote. For the wider market view, see Pabau compared with Zenoti, Boulevard and others, and for how other vendors structure their bills, read our Mangomint pricing breakdown and Boulevard pricing breakdown.
A lighter tool can be enough when the problem is narrower. If your records and booking already work and the real gap is Meta ad leads going cold before anyone calls them, a dedicated lead CRM can run alongside your existing system. Palyri is built for that: a lead CRM for aesthetics clinics that takes Meta lead ads into a pipeline and runs SMS and email follow-up to a booked consultation. It is not a clinical records system and it does not take payments. The ROI calculator shows what unanswered leads cost a clinic, and how to choose a CRM for an aesthetics clinic covers the selection criteria.
A lead CRM is enough when booking and records already work, most new clients come from Meta ads, and the gap is speed and consistency of follow-up before the first appointment.
| Criterion | Pabau | Palyri |
|---|---|---|
| Built for | All-in-one practice management for clinics | Lead CRM and follow-up for aesthetics clinics |

| Public price | Solo shown for your region; larger plans quoted | Listed on the pricing page |
| Clinical records | Yes, "Patient Portal and digital records", "Care and clinical workflows" | No |
| Online booking | Own scheduling and online booking | Embeds a third-party booking widget |
| Payments and POS | Yes, "Payments, POS, and invoicing" | No |
| Memberships and inventory | Yes, both listed in every plan | No |
| Meta lead ads and lead pipeline | "Lead management" listed in every plan | Core feature: Meta lead ads intake into a pipeline |
| Follow-up SMS and email automation | Marketing tools and automation; Marketing Plus add-on | Yes, SMS and email sequences |

FAQ
How much does Pabau cost per month in the UK?
Pabau shows the Solo plan price for your region on pabau.com/pricing, and quotes Team, Medium, Group and Enterprise after a demo, as listed on 28 October 2026. Pricing depends on your location, the number of users and, below Enterprise, the number of sites. Annual billing saves up to 20%. Add-ons, usage credits for messages and AI call minutes, and card processing sit outside the base price. Ask for a written GBP quote that states whether VAT is included.
Does Pabau have a free trial?
The Pabau pricing page, as listed on 28 October 2026, does not show a free trial of the core platform. It offers a demo call that typically takes 20-30 minutes with no obligation to proceed. Three add-ons do show free periods: Marketing Plus and Care Plus show 30 days free, and Engage Plus shows three months free. Ask during the demo whether a trial account is available.
Is Pabau priced per user or per location?
Both. Pabau's pricing FAQ describes a per-user model where you choose a plan by team size: Solo for one user, Team for 2-3, Medium for 4-5, Group for 6-15 and Enterprise for 16 or more. It also states that pricing applies per location, except on Enterprise, which covers multiple sites. In practice, a clinic with two sites below Enterprise pays for a plan at each site. The Engage Plus add-on is the exception in the other direction: it is priced per location, not per user, so the whole team can use it.
Does Pabau have a minimum contract?
Pabau's pricing page, as listed on 28 October 2026, states "No commitment. Based on team size." and does not publish a minimum term. You can choose monthly or annual billing, and annual billing saves up to 20%, which means paying for the year in advance. Before signing, confirm in writing the notice period on monthly billing, whether an annual prepayment is refundable if you leave or downgrade mid-term, and how you export client records, clinical notes and photos if you move to another system.
Do receptionists count as Pabau users?
Yes. Pabau defines a user as anyone who logs in to manage appointments, access patient records or perform clinical or administrative tasks, and names practitioners, receptionists and clinic managers explicitly. Client-facing features do not count: the online booking page and the Patient Portal are outside the user limit. List every person who needs a login, including part-time and locum practitioners: one extra login can move you up a tier.
Are there hidden costs with Pabau?
Pabau publishes its pricing structure, but several cost lines are separate from the base plan and are not priced on the page. These are the four optional add-ons (Marketing Plus, Care Plus, Insights Plus and Engage Plus), credits for messages and AI call minutes billed as you go, card processing fees for payments, and an extra plan for each additional site below Enterprise. None of these is hidden as such, but none has a published price on 28 October 2026. Ask for each in the written quote and add them to a budget table.
Can I change Pabau plans later?
Yes. According to Pabau's pricing FAQ, you can upgrade or downgrade at any time as your team grows or changes. Your data, settings, clinical records and workflows transfer automatically when you switch tiers, and billing is adjusted pro rata. Add-ons can also be added or removed at any time without changing the core subscription. On annual billing, ask how a mid-term change affects the prepaid amount.
